Project Overview
In an industry-academia collaboration with faculty and staff, we co-developed an in-house system for National Institute of Technology, Oyama College in Tochigi Prefecture, known for its robot contest achievements. Daily tasks that faculty and staff had been managing manually were digitized.
1. Built a system that awards points when students enter and leave classrooms using QR codes issued to each student
2. Version upgrade: developed an automatic attendance data management system based on QR scans when students arrive in the morning
Challenges
The admin panel for faculty and staff required fine-grained permission settings defining what each role can and cannot do. In addition, processing speed was critical for the QR scanning devices to avoid congestion when students scan in.
Our Approach
The system went beyond QR scanning; through version upgrades it now automates safety checks, such as notifying students whose attendance cannot be confirmed and automatically contacting their guardians.
Faculty and staff of Oyama College presented the system at an academic conference, where it drew attention and was featured in many articles. It has since also been introduced at National Institute of Technology, Kushiro College in Hokkaido.
